LEADERSHIP LUNCHEON OVERVIEW
The Leadership Luncheon is one of our most important stewardship events of the year. We celebrate the power of our mission and the incredible community who make it possible. Each year, this gathering of nearly 600 guests (corporate partners, donors, board members, alum, and community leaders) serves as a thank you and an invitation forward as we continue building Maine’s next generation of women leaders.
Volunteers play an essential role in creating the first impression our guests experience. From a warm welcome at registration to seamless support throughout the event, your energy and professionalism help us deliver an exceptional, polished, and heartfelt celebration. We couldn’t do it without you, thank you!

What to Expect

We hope to have approximately 20 volunteers supporting this year’s luncheon. Many will arrive at different times, and everyone is welcome to stay for the event and enjoy lunch. Roles will be assigned in advance, but flexibility is always appreciated. You may rotate between tasks as the morning unfolds, it’s all part of the fun! You will be supported by Volunteer Coordinator and the OSWLI staff, who will make sure you feel confident, connected, and appreciated from start to finish.

· Parking: Complimentary in the Holiday Inn by the Bay garage.
· Entrance: Enter through the main lobby, check in at the Volunteer Table near Registration.
· Check-In Contact: Colette Wold (Volunteer Coordinator)
· You will receive your name badge, a quick orientation, and your assignment for the morning.
· Coffee and water will be available.

· Registration & Welcome: Greet guests, assist with check-in, name tags.
· Wayfinding & Ushers: Help guests find the reception, ballroom, and restrooms; manage coat check and hallway flow.
· VIP Reception Support: Greet and direct invited guests to the Oxford/Somerset Rooms.
· Ballroom Support: Help guests find seats, assist with accessibility needs, keep the flow smooth.
· Floaters & Runners: Step in where needed—signage, transitions, guest assistance, or quick runs to staff.
· End-of-Event Support: Help close the event with the OSWLI team.

· Food & Drink: Volunteers staying for the luncheon will enjoy a full plated meal. Vegan and other alternatives are available upon request. Simply ask the server at your table.
· If You Need to Cancel: Please notify Alyda Twilley as soon as possible so we can adjust coverage.
